Welcome to Stay Better Vacations! We're glad you've chosen one of our properties and look forward to helping you have a wonderful stay. This agreement outlines what you can expect from us and what we ask of you as our guest. By submitting payment, signing this agreement, or taking possession of the property, you confirm that you have read, understood, and agreed to all of the terms below.
Occupancy The primary guest must be at least 25 years of age to rent any of our properties. Select properties carry a minimum age requirement of 30 years; where applicable, this will be clearly noted in the individual listing. The maximum number of guests permitted is listed on the property page and your confirmation letter — children under 2 years of age are excluded from this count. Occupancy limits are set in accordance with local law and must be followed at all times. Please notifiy us if your occupancy number is incorrect.
Guests may not assign or sublet the rental property in whole or in part, and the primary guest must be present for the duration of the stay. Reservations made under false pretenses will result in forfeiture of advance payments and may result in removal from the property.
Groups including fraternities, sororities, school organizations, civic groups, or other non-family gatherings are not permitted without prior written approval from Stay Better Vacations.
Please note that exceeding the maximum occupancy of guests is grounds for immediate eviction and may result in an additional fee.
Property Furnishings & Amenities Each property is individually owned and furnished according to the owner's preferences. While all properties include the following standard amenities, specialty items and décor will vary: Coffee maker and microwave Cable or streaming TV High-speed Wi-Fi Professionally laundered bed linens and bath towels
Please note that not all properties include a washer/dryer or dishwasher. This will be clearly noted in the listing if unavailable.
Starter Supplies Each property is stocked upon arrival with a starter supply of the following items: Toilet paper and paper towels Bar soap and dish soap Dishwasher detergent and laundry detergent Trash bags
These supplies are provided as a courtesy and are not replenished during your stay. Guests are responsible for purchasing any additional supplies needed. Personal toiletry items such as shampoo, conditioner, lotion, and facial tissue are not included.
Housekeeping Daily housekeeping and mid-stay linen changes are not included unless separately arranged and confirmed in advance.
Omni Amelia Island Plantation Properties If your property is located within the Omni Amelia Island Plantation, please be aware that certain resort amenities are not available to our guests, as noted in the listing.
CHECK-IN Check-in time is 4:00 p.m. (Eastern Time).
CHECK-OUT Check-out time is 10:00 a.m. (Eastern Time).
Should any renter stay beyond this time, without prior approval by SBV staff, a late-fee of $50 will be applied to the credit card on file for every 30 minutes beyond 10am.
Cancellation Policy Refer to Airbnb for your cancellation policy.
Cleaning A mandatory cleaning fee is included with all reservations. Daily housekeeping is not provided. Guests are expected to leave the property in a reasonably clean condition upon departure.
Additional cleaning fees may be charged if the property requires cleaning beyond normal guest use. Please ensure all property items — including keys, remotes, pool key cards, and towels — are left inside the unit upon checkout. Replacement fees apply for missing items.
** We inventory all towels and linens after each departure. Missing or damaged linens will be charged to the card on file.
Communication In addition to email confirmations, Stay Better Vacations may send text messages with reservation details, updates, and emergency notifications. If you prefer not to receive text messages, please notify us. It is your responsibility to ensure we have your correct phone number and email address on file.
Damages & Property Condition Guests assume responsibility for any damage caused by misuse or negligence during their stay. Normal wear and tear is the responsibility of the property owner.
Please inspect the property within 2 hours of check-in and notify us of any pre-existing damage or unsatisfactory conditions. This protects you from being held responsible for issues that were present before your arrival.
If damage occurs during your stay, please let us know promptly. Any damage identified after departure will be communicated to you along with applicable charges.
** Lost or unreturned items such as parking tags (excluding paper ones), pool key fobs, pool key cards, tennis keys, bathroom keys, or gate/garage openers are subject to a $75 replacement fee each.
Disturbances & Prohibited Activities We ask all guests to be respectful of neighbors and the surrounding community. The following will result in immediate eviction and forfeiture of rental fees:
Any illegal activity on the premises, including providing alcohol to persons under 21 Causing damage to the rental property or neighboring properties Any behavior that interferes with neighbors' right to quiet enjoyment
Smoking and vaping are strictly prohibited inside all rental properties. Please note that Ketch Courtyard and The Pelicans are entirely non-smoking communities — smoking of any kind is prohibited anywhere on the grounds, including balconies. Violations will result in additional cleaning fees or eviction.
Construction & External Conditions Construction or renovation work occasionally occurs in the vicinity of our properties. We do our best to notify guests in advance when we are made aware of scheduled work. However, in some cases, we receive no advance notice, particularly when work is scheduled by the building HOA or property owner without our knowledge.
** No refunds or property moves can be guaranteed due to nearby construction activity. We appreciate your understanding.
Maintenance & Repairs All equipment in each property is expected to be in working order at the time of your arrival. Please report any inoperable equipment to our office promptly and we will make every reasonable effort to address it as quickly as possible. After-hours issues will be resolved the following morning.
Please understand that we cannot guarantee against mechanical failure of HVAC, appliances, TVs, pools, or hot tubs. Pools and hot tubs may occasionally be subject to temporary closures due to circumstances beyond our control.
** No refunds or rent reductions can be guaranteed due to appliance or equipment failure, early departures, delayed arrivals, or dissatisfaction with a unit's décor or furnishings.
Parking Parking availability varies by property and is noted in the individual listing. Many communities have limited or assigned parking. We cannot guarantee spaces beyond what is allocated for your unit.
Guests are responsible for following all parking rules set by the property or community. Vehicles parked in violation of community rules may be towed at the vehicle owner's expense. Please review your property-specific parking details before arriving, and reach out to us with any questions.
** Refunds are not issued if a property cannot accommodate the number of vehicles in your party.
Pets Only our pet friendly rentals, which will be noted on the listing, allow dogs. A pet fee is required for all approved pets at pet-friendly properties and will be collected at the time of booking. Bringing an unauthorized pet to any property — pet-friendly or not — will result in additional fees and may require immediate vacating of the property. Bringing a pet to a non-pet-friendly property carries a $500 fee per pet.
Guests with dogs are asked to please respect the comfort and safety of other guests, both during and after your stay. For this reason, we ask that you please follow these guidelines during your time with us:
Please clean up after your dog Please do not allow dogs on furniture or beds. Please don’t leave your dog unattended for long periods of time. You are responsible for any damages your pet causes. Please do not allow dogs in swimming pools or on tennis courts. Extra cleaning fees will be charged for furniture, blankets, comforters, etc. that have pet hair left behind. Pets need to be on a leash at all times; it is not only an Association rule but a Fernandina Beach City Ordinance and applies to dogs on beaches as well If a guest is found to have brought a pet without prior approval, additional fees will be administered, and guests may be required to vacate the property immediately.
Lost & Found If you've left something behind, let us know as soon as possible! Please contact us within 7 days of your departure — items not claimed within that window will be donated or disposed of. If we locate your item, we'll ship it back to you via USPS or UPS for a $5.00 handling fee plus shipping, charged to the card we have on file or another card you provide. If you have your own FedEx or USPS account, we're happy to ship through that instead.
Substitution & Property Availability We reserve the right to substitute properties. In rare circumstances, a reserved property may become unavailable. Should this occur, Stay Better Vacations will notify you as soon as possible and make every effort to relocate you to a comparable property. If you choose to upgrade to a different property, any additional costs are your responsibility.
In the event that your property is listed for sale, we may occasionally request access for showings. We will make every effort to schedule these at a convenient time to not interrupt your visit. If the property is sold prior to your stay, you will be notified promptly and given the option to select from available properties or receive a full refund.
Right of Entry Stay Better Vacations staff, the property owner, or authorized representatives reserve the right to enter the premises during your stay for inspection or necessary repairs. We will provide advance notice whenever possible. Occasionally, pest control visits, maintenance calls, or inspections may be scheduled by the building HOA or owner without our prior knowledge. We will alert you if we are aware of any such visits.

Assumption of Risk, Release & Indemnification By agreeing to these terms, the signing guest and all members of their party agree to assume all risk for injury, death, or damage to persons or property arising from the use of the rental property and its facilities. Guests hereby release Stay Better Vacations, LLC, its employees and representatives, and the property owner from any and all liability for injuries or damages arising from their use of the premises.
This includes, but is not limited to, access to recreational and water activities such as canoes, bicycles, and swimming. Guest acknowledges that outdoor and water activities carry inherent risks and agrees to fully indemnify and hold harmless Stay Better Vacations and the property owner from any claims, losses, or causes of action — including those caused by negligence, accidents, forces of nature, or other foreseeable or unforeseeable causes.
The signing guest also assumes full responsibility for the actions of all persons they allow to enter the property during the rental period.
