Forever Vacation Rentals — House Rules (Condensed Version)
Booking, ID & Age
Primary guest must be 25+. Government photo ID must match reservation name and payment card; no third-party bookings. Failure to complete required e-sign + ID within 5 days cancels the reservation; refund minus $300 processing fee.
Last-minute (≤48 hrs): extra ID/credit-card verification required; office check-in may be required (3997 Commons Dr W, Ste E, Destin, FL 32541). Mismatched ID/payment or third-party booking = cancellation, refund minus $300, and disputes will be contested.
Pricing & Rate Discrepancies
OTA prices vary from direct rates. Rate at time of booking is final; no credits for platform differences.
Check-In/Out
Check-in 4:00 PM (CST) or later; check-out 10:00 AM sharp. Delays may occur for cleaning; no discounts. Late check-out billed at ½-day. Guests must track their own departure date.
Pre-Arrival Documentation
We time-stamp photo-document property condition before arrival. Report discrepancies immediately at check-in; post-stay claims reviewed against records.
Cleaning & Starter Supplies
One-time cleaning fee (incl. laundry). Starter kit only (trash liners, TP, bath & DW soap). Cleaning issue? Text immediately; we remedy—no refunds/discounts for cleaning complaints.
Advance Reservations
Bookable up to 18 months; rates/availability may change until confirmed. 50% due at booking; checks due in 7 days or auto-cancel. If a home becomes unavailable (sale/maintenance), we’ll rehouse or refund in full.
Access Items
Return all keys/fobs/wristbands/garage remotes at checkout or fees apply. We photo-document issue inventory pre-arrival.
Silver Beach Towers (Late Arrivals)
Arriving after 5 PM CST? Pickup FOB at our office above. Lost/unreturned FOBs are expensive; charged to card on file.
Personal Property (Lost & Found)
Double-check before leaving. Return handling: $35 admin + shipping. Not guaranteed; stored 7 days, then donated/disposed.
Child & Balcony Safety
Not childproof. Constant adult supervision required (stairs, balconies, doors, windows, pools, water). No items on rails; no throwing from balconies (felony). Report lock issues immediately. FVR not liable for misuse/lack of supervision.
Age Requirement / False Pretenses
No student groups or under-25 bookings (exceptions at FVR discretion with extra fee/deposit). False pretenses void stay (Fla. 509.141). Underage drinking/parties prohibited. We may verify ID anytime.
Maintenance, Use & Fees
Report issues immediately. Keep doors/windows closed when A/C or heat is on; frozen A/C from misuse is chargeable. Fridge may need 24 hrs after restock. Excess trash: $35. Lockouts: $50 (hours) / $125 (after hours); third-party locksmith not reimbursed.
Toilets: if one still works, not an emergency. Overflow from misuse: $125 after-hours trip + $30/½-hr repair. No refunds for utility/appliance/Wi-Fi/TV failures; issues resolved asap. We may enter to service. No refunds for items resolved within 48 hrs. Settlement agreement required before any refund.
Assignment
FVR may assign/delegate this Agreement at any time.
Beach Rules & Flags
Private/public access varies; know local rules (pets, alcohol, tents/umbrellas placement). Remove gear nightly; fill holes. Obey Florida beach flag warnings.
Beach Service
Some homes include 2 chairs + 1 umbrella (seasonal, not guaranteed). Prices and availability may vary.
Bicycles
Inspect before use; helmets recommended (and required for <16). Follow laws/paths; secure bikes; riding after dark discouraged without lights. Loss/damage is guest’s responsibility.
Cancellation, Insurance
Direct bookings are non-refundable; case-by-case review at management’s sole discretion (owners may be prepaid). We strongly recommend travel insurance (e.g., RedSky Sun Trip Preserver); cutoffs apply (typically ≥30 days pre-arrival). OTAs have their own policies.
Construction & Amenities
Nearby construction/HOA closures/service disruptions not refundable. If we know in advance, we’ll disclose and may discount before booking; no further compensation.
Criminal Activity / Illegal Substances
Strictly prohibited (drugs, underage drinking, vandalism, unauthorized weapons). Police calls due to misconduct may trigger immediate eviction and damage charges.
Firearms & Weapons
Must comply with Florida law. Open carry prohibited. Concealed carry only with valid license; unloaded, locked storage; no display/handling that alarms others. Advance notice to FVR required if bringing a firearm. Guest assumes all legal responsibility. If a prior guest left an item, notify us immediately; FVR not liable. Violations = eviction.
Peace of Mind Protection Plan (Limited Damage)
Automatic limited protection up to $1,500 for accidental damage reported before checkout. Excludes intentional acts, gross negligence, wear/tear, theft, smoking, pets, or unreported damage. Guest responsible for excluded/excess amounts; card may be charged.
Furnishings
Homes are privately owned; decor, placement, and mattress comfort are owner’s choice. No refunds for preference differences.
LSV / Golf Cart Use (where provided)
Signed LSV Agreement required pre-arrival. Licensed, insured drivers only; follow seating/road rules. Lithium batteries must be charged after each use; running to low charge may strand the cart—towing/after-hours costs are guest’s responsibility. Damage/misuse = guest pays. No refunds if inoperable during stay.
Good Neighbor
Treat home like your own. Lock doors/windows; respect parking, trash, HOA rules; quiet 10 PM–8 AM. Pre-arrival photos document condition. Violations may cause immediate termination and charges.
Holiday Reservations
Bring specialty cookware; no turkey deep-fryers. Office closed on major holidays; emergencies only (fire 911, active water leak, gas smell, alarm beeping, A/C not cooling >80°F outside, heat not working <50°F outside, stuck in elevator). Wi-Fi is not an emergency—bring a hotspot if critical. No fireworks.
Hurricanes / Weather
Refunds only for mandatory evacuation in Okaloosa/Walton/Bay counties; prorated for unused nights. Staying after order = at your own risk. No refunds for tropical storms/acts of God without evacuation. Buy trip insurance.
Internet
Provided by third parties; not guaranteed for speed/availability. No illegal use (DMCA, hacking, malware). Heavy-reliance guests: bring a hotspot. No credits for outages.
HOA & Community Amenities
Subject to change/closure without notice; no refunds. Follow all HOA rules; guest pays fines (charged to card on file).
Inspections
Routine inspections occur. We don’t open every cabinet/closet; report any unsafe items immediately. Guest indemnifies FVR/Owner for failures to report/safeguard.
Maximum Occupancy
Never exceed posted occupancy. County enforcement active. Violations = eviction, forfeiture, and potential fines.
Payment Terms
≥30 days out: deposit by card (MC/Visa/Discover) or check in 7 days; <30 days: pay in full by card. Final payment due 30 days pre-arrival. We may request ID anytime to validate payer. False/fraudulent reservations forfeit all funds.
Chargeback Protection
Charges are final except as stated in our policies. Resolve billing issues with FVR first. Unjustified chargebacks will be contested; guest responsible for fees/costs; unpaid balances may go to collections and future stays banned.
Neighborhood Rules / HOA & Noise Ordinance
Strict HOA rules (parking limits, no towels on rails, trash timing, no weddings without approval). Quiet 10 PM–7 AM; outdoor audio ≤ 50 dB overnight. Non-registered guests must leave by 10 PM. HOA fines billed to guest within 7 days of notice.
No Permanent Residence
Short-term, transient lodging only; no mail/residency use. Unauthorized holdover may be treated as trespass under Florida HB 621.
Owner Closets / Owner Furnishings
Locked areas off-limits. Furnishings may change; errors/omissions possible.
Fraud
Paying affirms you’re the cardholder/authorized user. On request, provide alternative payment/ID or reservation may be canceled. We cooperate with law enforcement on suspected fraud.
Pets
Only in pet-friendly homes with signed pet agreement, vaccinations, and paid pet fee. Unauthorized pet = eviction + fees. Peace of Mind Plan does not cover pets.
Pests
Florida climate = occasional palmetto bugs/ants/mosquitoes, even with routine treatment. Sightings don’t indicate uncleanliness and aren’t compensable; we will re-treat on request.
Pools / Spas / Hot Tubs
Use at your own risk; supervise minors; no glass; don’t tamper with equipment. Heated pools (Oct–early May): whole-stay fee; not adjusted mid-stay; not heated <52°F or >80°F outside. Community pools are HOA-controlled—no refunds for closures.
Property Damage
Report damage at arrival and as it occurs. Active credit card required for damages, theft, violations, missing items, improper checkout. You waive disputes for legitimate charges per policy; notice will be provided.
Rates
Published rates may be corrected for errors (e.g., $20 instead of $200). You may proceed at corrected rate or cancel without penalty.
Responsible Guest
Primary guest is on-site and responsible for all occupants/invitees and compliance with laws, policies, and HOA rules.
Service Animals & ESAs
ADA service animals always allowed (we may ask the two ADA questions). ESAs are not service animals and follow each home’s pet rules/fees. No animals left unattended unless explicitly permitted. No indoor piddle pads. Damages/extra cleaning are guest’s responsibility. Severe owner allergies may limit animal placement.
Smoking
No smoking or vaping indoors. Evidence = $500 fine + deodorization/damages and possible eviction. Marijuana prohibited indoors regardless of local law.
No Subletting / Parties / Events
No subletting, transfers, or events. Violations = immediate eviction, $2,500 fine, damages, and permanent ban.
Property Availability Adjustments
If an owner sells/withdraws or major maintenance occurs, we’ll offer a comparable/upgrade when possible; otherwise refund/reschedule.
Furnishings & Décor Updates
Homes may update items without notice; comfort not guaranteed but home will be clean and well-maintained.
No Daily Maid / Linens / Limited Supplies
No daily service; mid-stays available for a fee (book ahead). Linens and bath towels provided; bring beach towels.
Security & Surveillance
Some properties/resorts use exterior cameras on entries/parking. Do not tamper—eviction and damages apply.
Special Events
Contact us in advance. Additional approvals/fees/limits may apply.
Taxes
Florida state + county bed taxes apply to all stays ≤180 days; rates subject to change; collected/remitted by FVR.
Third-Party Vendors & Interruptions
Utilities/HOA/vendors are not controlled by FVR. No refunds for outages/closures/weather delays; report issues for coordination.
Trailers, RVs, Motorcycles, Golf Carts/LSV
Often prohibited by HOA. Confirm in advance; unauthorized vehicles may be fined/towed at guest expense.
Liability & Release
Guest assumes all risks (slippery surfaces, stairs, balconies, pools/spas, docks, wildlife, weather). FVR/Owner not liable for injury/loss arising from hazards, misuse, negligence, or acts of nature.
Force Majeure
No refunds/credits for force-majeure events (storms, outages, closures, evacuations, travel delays) outside mandatory evacuation policy. Buy insurance.
Infectious Diseases (incl. COVID-19)
Guest assumes risk of exposure/illness; waives/indemnifies FVR/Owner/HOA for claims related to transmission before/during/after stay.
Eviction
FVR may terminate immediately for violations (unauthorized pets, parties, noise, illegal activity, camera tampering, over-occupancy, policy breaches). Guest must vacate within 1 hour or law enforcement may be called. No refunds; damages/fees/fines may apply.
